  • Closed Club #4 Post Event Discussion

    Hello all,

First of all, I want to thank everyone for working so hard to pull off a great event on Sunday. We managed to do 2 runs in the morning, 3 in the afternoon, and we even did additional 3 runs for those that were eager to stay and didn't have sunstroke yet!
It was the first autox event I've organized, and I now see how important it is to improve all aspects of running the event.
Please tell us both the positive and also the not so positive aspects of today's event from your perspective. With your feedback we can work on our strategy for our future events.
    Thanks very much!

    I'll start first:

One area I tried to improve from the past events is the worker changeover. We called up the next group's workers 10 min before the heat was over. That gave the Chief of Workers more time to direct and send out workers. This worked out well, providing that people did show up for their assignment.

Question I would like to throw out:
When doing a Closed Club, would you prefer 2 runs in the morning and 3 in the afternoon, or vice versa? I figured 2 in the morning, so people don't starve, but there is also the idea that it would be better to do the 2 in the afternoon cause people are pretty tired at this point.

I will suggest that by the time the event organizers announce which class will run in particular group, they should already have in mind that who and when will drive. So why not setup a list of working order at the same time and post it out on the timing van so we (drivers) can know in advance when we will work. This can help us (drivers) arrange our time for lunch , washroon, etc. I believe this will shorten the switch over time quite a bit if combine with the 10 mins called up.

The event registration and tech went really smooth. Also the changeover for workers in the morning was really good. The problem started in the afternoon as it seemed like some ppl left. For our group which it was heat #3, we pretty much were in the grid for 15min looking for workers on course before the course was hot.

Also I would like to emphasize the importance of safety while ppl work on the course. I recognized some workers don't even keep their eyes on the car while it's running the course. Also there was some incidents which a station with 3-4 workers didn't even see the car hit the cone and had to be radioed(spl.) in to put the cone in the place.

Thanks to Sead for a good event even after working all day on Sat. for the Velocity school.

overall a great fun day!(wasn't too happy with my times but with the new kumhos finally in town i will vindicate myself!)i thought the event ran rather smoothly. a couple of points:

calling workers early was a great idea but we did have some trouble in the afternoon with people leaving. For closed clubs at least we need to emphasise that drivers will probably have to work both the afternoon and evening.I know that farz and other members of the exec are working at streamlining thw work assignment process even further so i'm not too worried about that(we know they give us good results!)

2.we could consider having a training session for timing and scoring so that we can speed up the start of run groups when people are being trained on the computer. this way we can establish a slightly larger base to take timing workers from!(i've been trained but would gladly come along on a refresher course)

3.congrats to the event staff for doing a fantastic job, kudos to sead for an excellent first shot running the show and thanks to ernest for helping me organize the workers!

As a driver, I liked having the first session with 2 runs and the second with 3 runs. The first two kinda felt like a warm up and then a full 3 runs in the afternoon to give it all I got. With 2 runs in the afternoon it feels more like a last ditch effort rather than an actual second session. Plus after the break, you have more time to get your groove back with 3 runs.

As a worker, I'd much rather have the first session with 3 runs. In the morning, I'm more fresh and ready to race, so the extra time out there isn't a big deal. Working in the afternoon isn't too bad because I'm only working through a 2 run cycle. If people have to work a 3 run session after their day is already done, I can see alot more people skipping out on work assignments all together, and since most that are assigned to work in the afternoon and not in the morning, we could have alot of people that end up not working at all if they skip out.

I guess it's one way or the other.

My proposal is to run 2 sessions, 3 runs each to alleviate the above concerns

I had a brief introduction to timing and scoring yesterday when I got to be announcer for about 5 or 6 cars. I'd definately like to learn more.

Congratulations on a very well run event Sead, near flawless.

There are only two areas of potential improvement:

                1. I prefer running three in the morning and then two in the afternoon.

                2. Timing and scoring had some problems again with the wind blowing run cards and the grid being incorrectly sent which resulted in chaos for the T&S people.

I really liked the worker switch over which happened a lot quicker. I think we can make it even better by trying out some new parts of the software that we haven't run yet.

To help with #2 above, we have a solution in mind and will test it out shortly. We just need to get some hardware together and do some pre-event testing.

Great event Sead, well done to you and your team. Great course again Robert!

i also prefer 3in the morning 2 in the afternoon.

(once we get fast enough at transitions and processing let's do 3 and 3!)

Not that I was there but when it comes to multiple runs I would prefer 3 in the morning and 2 in the afternoon although I would have to third Mason and Yarko and vote for 3 and 3.

I was about to pass out from heatstroke after my 8th run. I managed to do 6 runs in 2hours and by my 8th of the day my tires got so hot that I was able to beat my best time of the day by over a second.

Thanks for the FREE additional runs.

I vote for 3 runs in the morning and 2 in the afternoon. Of course 3 and 3 will be even better.

And if you ask me what can be improved, I say we shouldn't have an event on Mother's day next year. That's the only reason I couldn't make it.

I had a great time yesterday

I'm so happy to see so many new Miatas out

I don't know how Lisa, Sead and Marc had enough energy for 3 more runs after the event! Yikes!!

Perhaps we can conduct a T&S training session after the next club meeting since we don't have a tech session?
